Structure & Navigation in Projects

A project has 4 levels of hierarchy:

Area ➡️ Projects ➡️ Sprints ➡️ Tasks

Always maintain an overview, also with complicated processes. Areas may represent teams or departments. Projects can be divided into sprints (smaller portions of complex projects) based on time or topic. In these sprints, you define specific tasks.

Every project has a backlog. This is a great place to collect ideas, requirements and tasks that have not been assigned to specific sprints yet. The backlog is ideal for agile teams.

What’s great: Whether your backlog idea grows or remains only a small side task, you can flexibly turn this backlog entry into a project, sprint or task

Tasks are the smallest unit in the Projects App. A task is assigned to a handler, and a task is assigned to at least one sprint.

Good to know: One task can be assigned to more then one sprint. This is ideal for projects that extend across multiple departments.

You can filter by areas, projects or tasks.

The integrated search function enables you to look for elements by entering title or ID number.

Get quick access to all content via your dashboard. The dashboard shows bookmarked favorites (i.e. pinned areas, projects, sprints or colleagues) plus a listing of all tasks.

By clicking on a favorite - a project / sprint / task pinned as favorite to your dashboard - the respective filter is set automatically.

 

Progress & Status in Real-Time

Visually organize tasks according to their status:

  • Backlog / planned: Which tasks are pending?
  • Current: Which tasks are currently processed?
  • Closed: What has been completed?

The well-structured overview helps to prioritize tasks, and to identify bottlenecks at an early stage.

The progress of projects and sprints is displayed graphically in form of a colored bar. Next to the colored bar, the progress is also indicated as a percentage.

You can assign story points for tasks for an agile estimate. The board view shows how many story points a planned for a sprint, and how many have already been completed. 

This provides a good estimate for progress and workload.

Responsibilities & Time Management

Tasks, sprints and projects transparently show the responsibilities in projects. Roles such as owner, manager or handler can be assigned and adjusted flexibly. Tasks can also easily be passed on to someone else, for example if someone is ill.

Enter due dates for tasks. These will be sorted automatically according to their urgency within the board view.

If a planned task reaches its due date, the status will switch to "current" - and the handler will receive a notification. 

You can add attributes to tasks, sprints and projects to structure these based on topics. Attributes can be used as filters, and they are inherited by subsequent levels.

Consistent and Efficient: Templates & Checklists

Would you like to define a new process for future projects? Create a template for recurring workflows and use this template as often as you please for similar projects.

A project has successfully been completed and you would like to use this structure for future projects. Existing sprints can be saved as templates for future projects.

Add descriptions, task details and interactive checkboxes to your templates. Processes are easily documented, and projects can be completed systematically, also within larger teams.

Communication & Documentation Included

Tasks, sprints and projects have an integrated discussion area.

Use this area to:

  • share information, documents, status updates with others
  • ask questions if something is unclear
  • document decisions and rulings
  • respond to comments, like other comments, translate and bookmark content.

Everything posted here will appear in Projects and synchronously in Connect.

 

In the Connect App, you will automatically receive a notification in your personal feed, if:

  • a task has been assigned to you
  • one of your tasks has reached the deadline
  • someone mentions you
  • someone has replied to one of your comments

You can also receive an e-mail - even if the app is closed.

Use hashtags for projects and sprints - these will  be included in all subsequent entries automatically. 

Follow the hashtags of projects and sprints to always be up to date on topics relevant to you.

In the Projects App, all changes are documented automatically, for example if the status changes, if there are any adjustment, or if responsibilities are transferred to someone else. You can further document decisions, progress reports and agreements directly where they belong thematically.

Helpful: Retrieve information quickly, transparently document to dos, and manage replacements, certifications, legal matters etc. conveniently via Projects.

Security & Data Protection

Determine at area level who is allowed to see what, and who may edit - public or protected for specific users / user groups.

Every user automatically receives a private area. This area is only visible to him / her. It is ideal for own tasks, private to dos and preparations.

The Projects App runs either in the cloud or on premises, in your own infrastructure - no cloud, no data leaks. No matter which option you choose: Our solution is always secure and 100% in compliance with GDPR!
