What is the biggest advantage? Maximized efficiency! A good tool streamlines your processes, automates tedious tasks and optimizes resource utilization. This saves you a tremendous amount of time and gives your team the freedom to focus on what matters most. However, it is about more than just speed. With a project management tool, planning and organization become a breeze. Assign tasks, create workflows and set realistic schedules. This minimizes the risk of delays and errors – and your projects will run like clockwork. The entire Teamwork also benefits enormously. Everyone is always on the same page; misunderstandings are a thing of the past and communication becomes smoother. This is important for team morale!

Honestly, if you use your project management tool wisely, you will secure a clear competitive advantage. You can complete projects faster, more efficiently and more cost-effectively – leaving your competition behind. It is time to minimize stress and maximize your productivity!

Maximize Your Productivity with an Intelligent Project Management Tool:

1. Task Coordination: Central Element of Project organization

A central component of the project management tool is the management of projects, sprints and tasks with specific descriptions, priorities and the assignment of responsible persons. The following functions are important here:

  • Listing of tasks: Clear lists of planned & current tasks, divided into categories and projects.
  • Due dates: Deadlines are entered directly into the individual tasks and are always immediately visible.
  • Assignment: Who is responsible for which task? Tasks can be assigned to the responsible person immediately.
  • Covering for (sick) leave: Structured task overview in the event of prolonged absence or illness. These tasks can be quickly assigned to new responsible persons without risking delays to the project.
  • Status tracking: Track the progress of each task and identify bottlenecks at an early stage of the project.

2. Stick to the Timeline

Efficient time management is crucial to the success or failure of any project. Realistic schedules and transparently documented implementation of the individual phases are essential:

  • Story points: Estimate the amount of work required for tasks, especially in agile projects – helpful for workforce resource planning.
  • Deadlines: Each task is assigned a due date.

3. Manage Your Resources: The Right People at the Right Spot

Effective resource management is crucial to the success of a project:

  • Resource planning: The deployment of personnel, materials and budget must be well planned for each task!
  • Resource availability: Do the available resources still have capacity? Good planning in advance avoids bottlenecks.

4. Collaboration: Reach the Goal as a Team!

Project management tools facilitate communication and collaboration within the team:

  •  Integrated communication platform: Exchange information quickly with your colleagues.
  • Data sharing: All colleagues involved share all documents transparently. Private areas protect confidential documents.
  • Complete documentation: Changes are documented step by step. There is no need to guess which one is the latest version of a file.

Projects: Our Success Story - Your Best Bet

Before Projects simplified our lives, there were times when our marketing tasks were, well, let’s put it this way: Less coordinated and significantly more time-consuming. Excel spreadsheets, endless e-mail exchanges and misunderstandings about responsibilities were our daily business. For us, this often meant unnecessary extra work, missing information and annoying delays in implementing our creative ideas. One thing was clear: We needed a solution. That is how the idea for Projects came about – a tool that would be tailored precisely to our (innovaphone) needs.

Are you ready for a look behind the scenes? We would like to give you a glimpse of how our marketing team works with Projects. This tool has not only become an indispensable part of our daily work, but also a genuine in-house development that arose from an internal need.

Feedback from our marketing department - we asked a few questions, Simone, Luana and Nick responded:

Simone, what type of tasks do you use Projects for most frequently?

Projects has really become my go-to tool for just about everything. It’s just such a huge advantage to be able to organize all your tasks centrally using ONE tool. The great thing is, you can do more than ‘just’ plan to-do lists; you can also collect ideas and topics, store information about specific tasks in one place, and so much more.

I also use Projects for our monthly newsletter. I have created a separate newsletter project extra for this purpose. I collect topics that are suitable for the newsletter. Once I encounter a good topic, I place this idea in the backlog of my newsletter project. To ensure that I don’t forget anything when creating a newsletter, I have also created a sprint template for the newsletter. In addition to tasks such as writing articles, creating graphics, etc., the template also includes tasks for translating the newsletter. I can then assign these to the relevant colleagues and receive feedback directly via Projects when the translation is complete.

Luana, for which tasks are you particularly glad to have Projects?

When I am super busy, I sometimes tend to lose track of what still needs to be done. Projects comes in so handy to provide an overview over all my tasks so that I do not forget anything.

Can you remember the times before you had Projects to rely on?

Absolutely: E-mails all over the place, project files in outlook, sticky notes plastering my desk... it was wild!

Simone, how does Projects help collaboration in your team?

It’s soooo much easier, smoother and simpler than before! Also because of the integration of Connect - our intranet platform, including the notifications. Connect provides the opportunity to communicate with colleagues directly within the context of a project, sprint or task. You cannot imagine, how much easier things are in day-to-day business. Just recently, I had a case where several topics were discussed back and forth with an external agency in an e-mail conversation. This quickly turns confusing and chaotic. In Projects, everything is documented clearly and comprehensively – not only for those directly involved, but also for everyone else who might be involved later on.

If someone from the team gets sick or is on vacation, and if there are questions about their projects or the current status of tasks, Projects is a true game-changer!

Nick, do you have a useful tip for someone using Projects for the very first time?

It is important to use the tool often and regularly to get acquainted. As with any other tool, you have to learn how to use Projects. There is no shortcut. Once you understand the main structure consisting of areas, projects, sprints, and tasks, everything will become much clearer. Once you are on board with this structure, you are on the path of becoming a Projects pro.

What is your key benefit of Projects?

You are always up to date and can retrieve information very quickly, also when a colleague is sick and you need to jump in short-term. All information is available in one place, in Projects & Connect.

A True Game-Changer

For us, Projects is more than just a project management tool. It is the result of our belief that internal tools developed out of genuine need are best suited to support our work. Innovation often begins where existing solutions reach their limits. And we are proud of how Projects has changed the entire way our company works - for the better.
