Before Projects simplified our lives, there were times when our marketing tasks were, well, let’s put it this way: Less coordinated and significantly more time-consuming. Excel spreadsheets, endless e-mail exchanges and misunderstandings about responsibilities were our daily business. For us, this often meant unnecessary extra work, missing information and annoying delays in implementing our creative ideas. One thing was clear: We needed a solution. Simone, what type of tasks do you use Projects for most frequently?
Projects has really become my go-to tool for just about everything. It’s just such a huge advantage to be able to organize all your tasks centrally using ONE tool. The great thing is, you can do more than ‘just’ plan to-do lists; you can also collect ideas and topics, store information about specific tasks in one place, and so much more.
I also use Projects for our monthly newsletter. I have created a separate newsletter project extra for this purpose. I collect topics that are suitable for the newsletter. Once I encounter a good topic, I place this idea in the backlog of my newsletter project. To ensure that I don’t forget anything when creating a newsletter, I have also created a sprint template for the newsletter. In addition to tasks such as writing articles, creating graphics, etc., the template also includes tasks for translating the newsletter. I can then assign these to the relevant colleagues and receive feedback directly via Projects when the translation is complete.
Luana, for which tasks are you particularly glad to have Projects?
When I am super busy, I sometimes tend to lose track of what still needs to be done. Projects comes in so handy to provide an overview over all my tasks so that I do not forget anything.

Absolutely: E-mails all over the place, project files in outlook, sticky notes plastering my desk... it was wild!

It’s soooo much easier, smoother and simpler than before! Also because of the integration of Connect - our intranet platform, including the notifications. Connect provides the opportunity to communicate with colleagues directly within the context of a project, sprint or task. You cannot imagine, how much easier things are in day-to-day business. Just recently, I had a case where several topics were discussed back and forth with an external agency in an e-mail conversation. This quickly turns confusing and chaotic. In Projects, everything is documented clearly and comprehensively – not only for those directly involved, but also for everyone else who might be involved later on.
If someone from the team gets sick or is on vacation, and if there are questions about their projects or the current status of tasks, Projects is a true game-changer!
Nick, do you have a useful tip for someone using Projects for the very first time?
It is important to use the tool often and regularly to get acquainted. As with any other tool, you have to learn how to use Projects. There is no shortcut. Once you understand the main structure consisting of areas, projects, sprints, and tasks, everything will become much clearer.
